The Challenge: Manual Digital-Product Order Fulfillment

Rob sells automotive performance-tuning products that require each customer to receive a unique license key. The correct key depends on whether the customer purchases a Single ECU or Dual ECU product.

Orders were processed through Stripe, PayPal, and Squarespace. Because these sales channels were not connected to Rob’s license-key inventory or email account, every order created a separate manual fulfillment process.

For each completed purchase, Rob had to:

  1. Log in to the relevant payment or sales platform
  2. Verify that the payment had been completed successfully
  3. Identify whether the customer purchased a Single ECU or Dual ECU product
  4. Open the license-key inventory in Google Sheets
  5. Find an unused key that matched the product
  6. Copy the license key manually
  7. Compose a customized confirmation email in Gmail
  8. Insert the correct key into the message
  9. Send the email to the customer
  10. Return to Google Sheets and mark the key as used

This process was repeated more than 200 times each month.

Tools Used in the Automated Fulfillment Workflow

Zapier served as the orchestration layer. It received transaction data, evaluated the product, followed the appropriate conditional path, retrieved the correct license key, updated the inventory, and initiated the customer email.

1. A Successful Payment Triggers the Workflow

4. Google Sheets Assigns the Next Available License Key

The workflow searches the Google Sheets license-key database for the next available unused key matching the purchased product.

Why This Custom Workflow Automation Worked
